What Core Information Do We Include in Our Payslip Template?
Employer’s name and address
Start off each payslip by including your company’s name and address at the top. This confirms you as the employer and provides key details on where the payment is coming from.
Worker’s name and occupation
Underneath the company information, include the employee’s full name and job title. This helps avoid any confusion and makes it clear who the payslip is for.
Period for which payment is made
Specify the start and end dates of the period the payment covers. For example, “Pay period: 1st January – 15th January”. This provides context on what timeframe the hours and pay are for.
Total salary or wages
List the employee’s total gross pay for that period before any taxes or deductions. This is the key number they care about – how much they actually earned.
Any deductions
If certain amounts are deducted from the employee’s gross pay for taxes, insurance, retirement savings, or other reasons, the payslip has to list each deduction separately. The net pay must reflect these subtracted amounts.
The actual amount paid
Finally, the employee needs to see the bottom line – the net payment amount transferred into their bank account after deductions. This allows them to confirm the accuracy of the calculations leading to their take-home pay.
Depending on your payroll policies, the statement may also need to provide figures related to
- Employee’s base pay rate and overtime rate
- Number of regular hours worked
- Number of overtime hours worked
- Hours worked on Sundays or holidays
- Total hours worked during the pay period (for averaging agreements)
Providing this information gives transparency on how pay has been calculated. It shows the time worked and rates applied.
